The 2012 General Membership Meeting will take place at the Marriott Wardman Park Hotel in Washington, DC.

The conference schedule does allow time for organizations to host events that do not conflict with the official conference agenda. In addition, you may reach conference attendees by submitting written materials or giveaways to be inserted in the conference tote bag. (Important: ICI does not permit distribution of materials on the conference tables or bell-desk distributions at the conference hotels.) 

Please review the descriptions below for more detailed information about each of these options.

Affiliate-Sponsored Social Events

Affiliate event requests must be approved by ICI in advance (this includes events held at the Marriott Wardman Park, as well as any event held at an off-site venue). Requests to host an event must be submitted by April 23. However, if you intend to host your event at the Marriott Wardman Park, we strongly encourage you to submit space requests before April 10. 

Registration for affiliate events is now open.

NOTE TO EXHIBITORS: Affiliate fees are included in your booth fee; however, you do need to register your event in order to coordinate logistics with the hotel. A discount code will be emailed to you directly if you indicate that you will be hosting an affiliate event.

The following fees will apply to affiliate events held at the 2012 General Membership Meeting if you are not an exhibitor:

For events exceeding 300 attendees, contact Tonya Bouley, affiliate coordinator, at tonya@ici.org or 202-326-5969. Fees for events of this size will be individually assessed based on space allocation, day, and time. 

Affiliate fees must be paid in full at the time of registration.

Conditions

  • Once your event is approved by ICI, meeting and/or event space is assigned by the hotel based on availability and the size of function. The Wardman Park catering staff will do everything possible to accommodate your requests. The hotel catering staff will assign appropriate space based upon your event type, function times, food and beverage setup, additional event needs (e.g., entertainment), and the number of attendees you anticipate will attend. Thank you for your understanding.
  • Requests for a specific meeting space are not guaranteed.

Requirements

  • Appropriate payment must accompany registration.
  • Functions cannot conflict with official conference events.
  • A minimum of two company representatives must be registered to attend the conference.
  • In addition to the affiliate fee, approved organizations are responsible for all costs related to the hosted function (food, beverage, signage, event transportation, and any other costs related to the event).

Conference Tote Bag Inserts

Organizations may place materials or giveaways in the conference tote bag for a fee of $1,550. Once approved, ICI will notify you in writing and provide shipping information. Space for the inserts is limited and will be allocated on a first-come, first-served basis. 

Registration for tote inserts is now open

All tote inserts must be received by ROI (our fulfillment house) on or before April 23, 2012. No exceptions can be made to this deadline.

Conditions

  • Organizations must submit a sample (PDF versions acceptable) of the materials or giveaways to be included in the conference tote bag.
  • Requests are processed on a first-come, first-served basis.
  • Inserts can be a publication or newsletter (not to exceed 15 pages) or a promotional giveaway item.
  • Giveaway items must be small enough to fit easily into the conference bag. Do not send anything that is perishable or fragile (such as food items), as temperatures and shipping may cause damage.

Requirements

  • Requests must be received by April 16; materials must be received by ROI (fulfillment house) on or before April 23.
  • Organizations must register two company representatives to attend the conference.
  • A payment of $1,550 must accompany registration form.

Benefits

  • One preconference list will be sent to you after your promotional items have been sent to ROI (fulfillment house).
  • Get your message out with minimal investment.
